Essential Documents for a Visa Application

The following documents are commonly required:


Proof of Conference Participation

  • Conference Invitation Letter: Issued by the organizers, confirming your participation. Ensure it includes your full name, passport details, notarized and role (speaker, delegate, presenter).

  • Registration Receipt: If applicable, show proof of payment for the conference.

  • Abstract Acceptance Letter: If presenting, include proof of your research being accepted.


Financial Proof & Sponsorship

Many visa rejections occur due to insufficient financial evidence. You may need:

  • Bank Statements (Last 3–6 Months): Demonstrate sufficient funds for your stay.

  • Sponsorship Letter: If funded by a university, employer, or organization, include an official letter stating they will cover your expenses.

  • Travel Grants or Scholarships: If you received a grant, provide proof of funding.


Travel & Accommodation Arrangements

  • Flight Reservations (not necessarily purchased tickets, just a booking confirmation).

  • Hotel Booking or Accommodation Proof (can be a conference-recommended hotel or a letter from a host).

  • Travel Itinerary: Outline of your planned activities during the conference.


Supporting Personal Documents

  • Valid Passport (Ensure it has at least six months’ validity beyond your stay).

  • Visa Application Form (Completed and signed).

  • Previous Travel History (Copies of visas and stamps from previous trips, if applicable).
